Responsibilities:
  • Relieves supervisor and other department staff of routine duties
  • Answer phones and greet visitors, back-up phones for lobby receptionist
  • Schedule appointments and maintain multiple calendars
  • Schedule and coordinate staff and other meetings; take notes; distribute minutes
  • Prepares communications, such as memos, emails, reports, and other correspondence
  • Create and maintain filing system, both electronic and physical
  • Manage multiple budgets; prepare requisitions for purchase orders; accept deliveries; review and submit invoices for payment
  • Liaison between students and department staff
  • Maintain confidential information for department and/or school
  • Coordinator or assist with planning events -i.e.. White Coat Ceremony, Commencement, Student interviews, lunches
  • Make travel arrangements, assist with expense reports and P-Card reconciliation
  • Other general administrative duties assigned by supervisor

Qualifications:

  • High school diploma plus 2-3 years of Administrative support experience
  • Associate’s degree or higher plus 1-2 years of Administrative support experience
  • Excellent interpersonal skills, ability to make independent decisions; communication and collaboration; highly organized and detail oriented; excellent writing skills
  • Proficient in Microsoft Office,
  • Computer literacy – e.g., the ability to organize virtual meetings -use of Zoom, etc., and quickly learn new systems/software packages
  • Project management, event planning
