As the Administrative Assistant you will be their business and operations manager for the Faber Center for Ignatian Spirituality. You will be responsible for overseeing and managing the day-to-day functions which include organizing and executing all parts of the event process, taking care of all the administrative tasks, and performing funds/contractual execution.
In this capacity you will need to be able to work independently and have outstanding organization and communication skills. To support the spiritual mission of the Faber Center, the person will need to possess a sensitivity to the spiritual life, a sense of hospitality, and strong inter-personal skills.
The administrative assistant will also collaborate with other offices as required to help the Faber Center accomplish its mission and support the mission and guiding values of the university.
This is a full-time 11-month position.
1. Establish the execution plan for the center’s events, create/maintain the calendar, coordinate the timelines for execution of the events, and maintain a system of event registrations.
2. Oversee all event management and logistics for in-person and online offerings: send invitations, record responses, reserve rooms, purchase/order food, event set-up and clean-up, provide onsite support and hospitality, arrange for any AV equipment, coordinate the running of online events, gather evaluations, and other related activities
3. Maintain program operating budgets. oversee all purchasing and contracted services for events; process iExpense reports for center staff; process disbursements of fees for speakers, retreat and spiritual directors; process hiring of any student employees.
4. Implement the center’s marketing efforts which includes, Newsletters, website pages, flyers, campus mailings, e-mail invitations, and Marquette Today announcements
5. Accomplish administrative tasks (proofing/editing of written/audio/visual event materials, prepare retreat packets/bags, liaison with Information Technology, etc.)
6. Provide the logistics and on-site support for the Fall Weekend Retreat
7. Maintain the center’s website, library, and virtual archives
8. Supervise student employees when needed.
9. Act as department receptionist and answer telephone calls and email inquiries; manage drop-in visits to the center as possible.
10. Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities

High school diploma or equivalent is required.
At least 4 years of experience aligned with the job responsibilities.
Experienced with MS Office tools (Word, Excel, PowerPoint, Publisher, MS Teams)
Possess personal maturity, initiative, compassion, and creativity.
Excellent organizational skills and attention to details
Experienced in working with diverse communities (race, religion, sexual orientation, ability etc.), consistent with Marquette’s Statement on Human Dignity and Diversity.
Ability to participate as a collaborative member of a team and implement both individual and team goals effectively.
Ability to maintain confidentiality.
Proficient in written and oral communication
Draw on previous experience and analysis to understand and resolve non-routine problems.
Preferred Knowledge, Skills and Abilities
Bachelor’s degree preferred.
Event planning experience.
Familiar with Ignatian Spiritualty and Jesuit Higher Education
Understands Marquette University’s purchasing and funds execution (MARQetplace)
Familiar with Zoom, Google Forms, Mailchip, and Canva
