Executive Administrative Assistant - SVP Corporate Development
Job description
In this role you will independently perform complex and diverse administrative duties and will interface with senior leadership and other high-level contacts both within and outside Medtronic.
You will be a key partner and will be exposed to sensitive information requiring considerable use of tact, diplomacy, discretion, and judgment. It will be important to work across multiple functions and take initiative to ensure the needs of the internal and external stakeholders are met.

A Day in the Life
Provide administrative support to the Senior Vice President of Business Development:
- Manage complex travel plans, calendar, and scheduling (often managing international time zones and complexities)
- Manage expense reports, purchase orders, check requests, etc.
- Handle correspondence
- Track and review budget
- Create and update documents, presentations, proof, update, scan, copy, file and maintain
- Provide meeting coordination and support for large and small meetings
- Maintain filing systems, order supplies and equipment and manage expense reporting and monitor cost center budget
- Lead specific projects as assigned
- Maintain high level of confidentiality
- Take action authorized during executive’s absences and use initiative and judgment to see that all matters are handled in a manner to minimize effect of executive’s absence
- Serve as a key point of contact for other MDT departments and customers on behalf of the VP’s as well as departments.
- Communicate with customers, senior leaders and department employees – communicate verbally, in writing – and maintain confidentiality
- Multi-task and manage through issues proactively. Provide appropriate information to contacts (handle questions, issues and follow ups)
- Apply knowledge of business and department objectives and priorities
- Serve as an information resource on organizational practices, policies, and procedures
- Follow all work/quality procedures to ensure quality system compliance and high-quality work
- Responsible to coordinate across several administrative support personnel for the projects listed below that will have varying levels of workload at different times
- Work with other senior executive assistants to coordinate calendars, vet and establish proper rosters for meetings, obtain internal reviews and approvals for expenses and budgets, and generally interface effectively with Excom and other senior leadership assistants and administrators
- High school diploma or GED with 6+ years of administrative support experience
Nice to Have
- HRIS knowledge
- HR cyclical processes and procedures (Talent Review, Performance Acceleration, Goals & Objectives, etc.)
- Experience with Microsoft Office Applications (PowerPoint, Word, Outlook, Excel)
- Travel arrangements and meeting coordination experience, both large and small
- Experience with internal employee communications
- Associate Degree
- Strong Medtronic experience
- Ability to effectively operate complex calendars and travel requirements
- Project management experience
