We’re looking for an amazing Executive Assistant Marketing professional to fill this role, which is based in our Fort Lauderdale office. You’ll be responsible for providing support to the SVP of Marketing and other members of the Marketing team in administrative tasks and special projects to achieve maximum efficiency and meet department and company objectives. The Executive Assistant will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities

Responsibilities
- Manage an extremely active calendar of appointments; complete expense reports; compose and prepare correspondence that is sometimes confidential; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings including handling information of a highly confidential and critical nature on a regular basis
- Schedule demanding internal and external meetings; adjust and prioritize last-minute changes including logistics such as conference rooms, events, and catering.
- Process expense reports; reconcile and track monthly credit card statements and expenditures.
- Answers phones, checks e-mails and voicemail, and relays or responds to messages promptly and professionally.
- Respond and follow up on managers behalf, delegate tasks to manager's leadership team where applicable.
- Monitors progress on departmental projects; assists to facilitate the timely and successful completion of the project.
- Acts as a "gate-keeper" by managing and organizing calendar including using discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement by the executive leadership.
- Contributes to departmental goals by maintaining ongoing management of department's budget and has solid understanding of policies and procedures.
- Codes all department invoices and routes for appropriate approval and tracks invoice payments and maintains promo budget spreadsheet for monthly forecast review with department management.
- Sets up all department vendors in vendor maintenance system, complying with multi-step process per company policy.
Requirements
- Completion of a technical school or equivalent combination of education, training and experience required
- 5 -7 years’ experience in an administrative assistant role, preferably supporting senior level management
- Ability to prioritize and manage multiple tasks simultaneously to meet deadlines
- Ability to maintain high levels of confidentiality, accuracy and attention to detail
- Strong written and verbal communication skills
- Proficient in the use of MS Office 365 (Outlook, OneDrive, SharePoint Online, Word, Excel and PowerPoint) required
- Work primarily in a climate-controlled environment with minimal safety/health hazard potential.

- Base Salary Range: $48,505.60 to $65,499.20. The range is applicable for the labor market where the role is intended to be hired. Final base salary is directly related to each candidates' qualifications and experience uniquely.
