Overview:

The Hospice Business Office Coordinator completes the office functions of the Hospice agency, including phones, intake, patient enrollments/verifications and accounts payable. The position also assists with visit verifications and month end close. These duties are done in accordance with the Otterbein SeniorLife mission statement, corporate goals, federal, state, and local standards, guideline, and regulations to ensure the delivery of consistent, high quality care. The Hospice Business Office Coordinator participates in the implementation of the mission, philosophy, objectives and policies of Otterbein SeniorLife with emphasis on the highest quality of care, regulatory compliance and client support services.

Job Description:

  • Represent Otterbein Ashanti Hospice and Otterbein SeniorLife in a positive and professional way in the internal and external community.Ensure that the organizational values and mission are understood and upheld among the team.
  • Maintain complete business file for each hospice patient; fax, email or upload information to partner ministries as needed.
  • Run reports as requested.
  • Complete enrollments in MITS system and submit Notice of Elections for hospice enrollment.
  • Verify insurance payers.
  • Assist case managers in tracking certifications and face to face visits.
  • Serve as a resource to partners, patients and family members regarding billing or other questions.
  • Function as a super user on hospice software.
  • Provide administrative support to the office, including phones, fax and general assistance as needed.

Regulatory Compliance:

  • Ensure all required submissions and reports are completed in a timely manner and that the agency maintains compliance with regulations.
  • Support and abide by the Corporate Code of Conduct and Compliance policy.
  • Make written or oral recommendations to the executive director concerning the operation of the hospice office.
  • Participate and assist in special projects as assigned or that may become necessary.
  • Perform administrative duties such as completing or ensuring completion of necessary forms, reports, tracking of physician needs, month end processes, etc.

Financial Operation:

  • Ensure all invoices are submitted and processed timely. Reach out to vendors if questions or discrepancies arise.
  • Provide communication and assistance in ordering DME when needed to support clinical team.
  • Routine ordering of office supplies.
  • Be detail oriented to identify billing discrepancies or concerns.

Communication:

  • Practice kind, honest, open communication with the partners within the hospice program.
  • Use good judgment and sound decision-making, include appropriate people in decision-making process.
  • Demonstrate caring service to all customers.
  • Maintain documentation in electronic medical record as needed.

Safety & Security:

  • Communicate and support hospice safety programs.
  • Commit to reporting safety concerns and work with the team to address issues promptly.
  • Participate in annual emergency safety drills and follow Emergency Management regulations.

Qualifications:

  • Licensure/Certification:. Medical coding or billing certificate preferred but not required.
  • Experience: 1+ years of health care experience, hospice specific preferred but not required. Experience with electronic systems such as MITs, Point Click Care, Careficient, Excel and other computerized tracking systems preferred.
