Job Summary:
Administer and coordinate specific and various administrative personnel duties pertaining to human resources, benefits, procedures, policies and payroll. Responsible for record keeping, and as assigned, work on specific and various projects associated with the requirements of the Human Resources Department. The successful candidate will be passionate about supporting and driving the Company’s Values, RIGHT: Respect, Integrity, Growth, Honesty and Teamwork.
Essential Duties and Responsibilities:
- Schedule and conduct New Jersey new hire benefit and policy orientation. Collect and process new hire paperwork according to established procedures.
- Input New Jersey new hires and maintain changes to existing personnel data in the HRIS system.
- Process New Jersey enrollments, terminations and changes to the company’s benefit plans through Insurance Carrier websites.
- Prepare PSRs for New Jersey new hires/terminations and changes to New Jersey employee’s payroll in payroll deductions, personal information, change in status and benefit changes.
- Prepare and maintain a complete personnel file for each Enterprise employee.
- Provide the HR Specialist with the completed medical file for new hires, as well as, all employee changes to benefits and beneficiary information with supporting documentation.
- Maintain the Respirator Clearance and DOT medical record spreadsheets with new hires, terminations and transfers.
- Process the weekly Fidelity report and submit information to the Payroll Department. Maintain electronic file for Enterprise.
- Record and maintain the spreadsheet for the Enterprise of approved 401K loans and hardship withdrawals and file documents in the payroll files.
- Maintain the Employee Policy and Benefit manuals for all New Jersey companies and notify Manager of updates needed for carrier changes, plan design changes and benefit updates.
- Maintain the Company’s New Jersey ID Badge Program.
- Communicate and interpret benefits and address benefit related concerns for New Jersey employees.
- Responsible for COBRA administration utilizing third party administrator for new hire notifications and terminating employees /dependents losing coverage.
- Maintain New Jersey Commuter Benefit Notification and administration.
- Prepare termination packages for departing New Jersey employees according to established procedures.
- Administer New Jersey Workers Compensation program and OSHA reporting.
- Complete Employment Verification Requests after obtaining employee authorization.
- Assist during Open Enrollment.
- Backup the HR Specialist where needed.
- Maintain filing and purging old files for storage or shredding.
- Process purchase orders generated by the HR Representative function.
- Assist the Department as needed.
Minimum Qualifications:
- 1-3 years of Human Resources administration.
- Effective communication skills and ability to relate well to others.
- Ability to be accurate with math and numbers.
- Detail oriented.
- Ability to handle confidential material.
- Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines.
- Proficient in Word/Excel.
- Ability to research and problem solve.
- Ability to learn various Human Resource Information Systems.
Requirements:
- Must be able to sit, stand for extended periods.
- Valid Driver’s License in good standing.
- Occasional travel may be required with this position.
