Due to continued growth, we are recruiting for a ROI Payroll Administrator to join our payroll team.

Purpose of Role:

The Payroll Administrator is responsible for the accurate and timely processing of the organization's monthly payroll in Ireland for 700+ employees. You will be responsible for creating and maintaining employee payroll records and ensuring payroll procedures are compliant, efficient, and current.

Main Tasks & Responsibilities:

  • Day to day end to end processing of the monthly payroll processes for Schenker ROI.
  • Timely and accurate processing of payroll transactions including new hires, terminations, changes to pay rates, benefits, garnishments, taxes, overtime, pensions and other payments & deductions.
  • Responsible for checking monthly payroll changes imported from the HR system and Time & Attendance system and/or spreadsheets to identify and investigate irregularities.
  • Process manual payroll changes including ad hoc (same day) payments and deductions, maternity and paternity pay, etc.
  • Processing of accurate payslips for all employees ensuring they meet legislation requirements and promoting e-payslips as the norm.
  • Process and ensure transmission of Revenue monthly submissions.
  • Work collaboratively with the HR administration function to ensure accurate internal records for all salary and benefit information.
  • Liaise with Revenue on PAYE related matters including Revenue audits and questionnaires.
  • Ensure payroll tax filings, returns and payments across ROI are processed accurately and on time.
  • Ensure the overtime records are accurate and work with the business to ensure timely and accurate data is received from the time and attendance systems and/or spreadsheets.
  • Responsible for processing payroll ‘Year End’ processes accurately and within the prescribed Timelines.
  • Provide cover in the absence of the UK Payroll Specialist for payroll queries and processing.
  • Administer the company pension schemes and be the first point of contact for the Pension providers and the Pensions authority.
  • Maintain the relationship with the provider processing the Fuel Card Optimiser for Company Cars and process the deductions and refunds through payroll as appropriate.
  • Ensure accurate and timely processing of all salary sacrifice schemes.
  • Process the monthly payments for the Sports & Social schemes, e.g., Bike 2 Work.
  • Process deductions and liase with suppliers for benefit schemes e.g., Private Health, Company Car, Fuel Card, etc.
  • Provide accurate payroll sign off reports for the HR Director and Finance Manager with all anomalies highlighted and explained.
  • Work proactively with Finance to ensure Payroll reporting into the GL is delivered in a timely and accurate manner assisting with accounting, reconciliation and costing issues.
  • Provide payroll sign off reports to the business and measure and follow up on compliance of payroll sign off ensuring managers comply with payroll cut off dates.
  • Full responsibility for processing & providing payroll month end reporting for the finance function in an accurate & timely manner.
  • Assist with the preparation of regular payroll reconciliations and payroll analytics, as well as preparing payroll reports and journal entries for ROI entities.
  • Be the first point of contact for the ROI staff in relation to all pay related queries demonstrating excellent knowledge and customer service.
  • Manage the ROI payroll inbox and telephone enquiries, responding in a timely and professional manner, defining and delivering to an agreed Service Level Agreement (SLA).

  • Follow and assist with the development of clear Standard Operating Procedures (SOPs) for all payroll processes.
  • Be proactive in the relationship with the Payroll Provider and in collaboration with the HR Systems and Data Specialist, continuously look to improve the accuracy and efficiency of day-to-day payroll operations through automation and system or process improvements.
  • Work with the payroll software provider to ensure the system is functioning to a high standard and supports any changes in legislation.
  • Ad hoc support on projects as required.
  • Ensure compliance with relevant laws and internal policies, and procedures of the Company.
  • Ensure the payroll function is compliant with data protection legislation.
  • Ensure the payroll function is compliant with all Revenue legislation including but not limited to SSP, SMP, PAYE, etc.
  • Provide information as required for any HR or Payroll audit and work to close any open items as a result of an audit.
  • Complying with ROI and local legal requirements by maintaining professional and technical knowledge by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.

Compliance
The ideal candidate will have the following:

  • Significant experience of end-to-end payroll processing, ideally for a similarly complex, multi-site, varied workforce.
  • Demonstrable current ROI payroll knowledge of legislation including Tax, SMP and SSP, and PAYE.
  • Previous experience working in a standalone Payroll position is desirable, but not essential.
  • Ability to undertake manual payroll calculations where required.
  • Excellent working knowledge of payroll systems, experience with Zellis is desirable.
  • Excellent communication skills, both written and verbal.
  • Respect for confidential information.
  • Intermediate to advanced MS Office skills (Excel, Word, Outlook).
  • Confident in handling and working with data analytics and reporting.
  • Ability to manage issues quickly and effectively to bring to a positive conclusion.
  • Previous experience working in a regulated industry desirable (preferably Air Cargo) Relevance??

  • Payroll qualification (e.g. IPASS) is desired but not essential
