We are looking for a Senior Executive Assistant to support various leaders in our epocrates Organization. Your job will be to provide administrative support to the leaders to ensure overall efficiency. You will collaborate with top executives, divisional leaders, and other executive assistants to prioritize business and administrative service's needs. But enough about us; let’s talk about you.
You are an independent thinker with well-developed analytical and problem-solving skills. You have a strong ability to multi-task and work in a fast-paced environment. You are a team player who enjoys collaborating with others. You can operate independently and remotely from a supervisor. You are proactive and identify opportunities and act accordingly. You are able to clearly and concisely present ideas. You are able to manage work that is often sensitive and confidential in nature. You remain knowledgeable of corporate policy and are a subject matter expert on how the organization operates internally.
Job Responsibilities:
- Manages extremely active calendars, providing total administrative and scheduling support.
- Coordinates prioritization of leader’s time in which all matters are of competing critical importance.
- Arranges complex and detailed travel plans, itineraries, and agendas.
- Facilitates planning and execution of important divisional meetings
- Researches, prioritizes, and follows up on incoming issues, questions, and concerns.
- Manages expense reports within Oracle.
- Invoice and purchase order management.
- Prepares reports and creates documents including PowerPoint presentations, both formatting and adding content.
- Communicates frequently with stakeholders on open items owed to and by internal and external constituencies.
- Leads special projects and ad hoc assignments, as determined by their leader(s).
Typical Qualifications:
- Associates Degree preferred or commensurate experience in an Administrative role required
- 5+ years of Executive Assistant or project coordination experience
- Proficient in the full Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint.
- Excellent oral communication skills.
- Superior writing and report presentation skills.
- Commendable listening skills.
- Exceptional organizational and efficient administrative skills.
- Employs a collaborative approach.
- Able to handle highly sensitive and confidential materials.
- Positive attitude and ability to make things happen.
