Responsibilities:
Responsible for managing the day to day operations of two condominium-hotels at the Fontainebleau Miami Beach.

Examples of Duties , includes but is not limited to the following :
  • Administer the day to day affairs of the condominium associations. This includes maintaining the governing documents and records of managed community associations. The coordination of condominium association requests, meetings and correspondences with the elected association board of directors.
  • Maintain unit ownership and rental program participation database. Track foreclosures and closings to ensure unit transfer and owner contracts are processed in a timely manner. This includes creating, updating and closing owner contracts and files in Opera, Excel database and manual files in the Condominium Office and informing the Finance Department of these changes.
  • Meet with prospective and current unit owners and realtors to explain the benefits and terms of ownership including property amenities, assessments, available services and fees, the rental program, maintenance statements, etc.
  • Manage requests for documentation from unit owners and potential buyers participating in the rental program and inquiring about Hotel Operator Services.
  • Resolve complaints and problems as needed to ensure owner satisfaction and that we are compliant with established management and condominium-hotel rules, procedures and regulations.
  • Correspond with Title Companies, Attorney's, Realtors, Asset Management Companies, Financial Institutions, owners and buyers throughout closing process to ensure complete transition of unit ownership. Processing of estoppel letters, condominium questionnaires, and title and lien inquiries. Provide unit sell out dates to buyers and sellers based on rental contracts when applicable. Charge and collect fees/dues for these services when applicable.
  • Provide hotel's insurance's proof of coverage to mortgage providers and unit owners upon request. Assist with the collection of monthly assessments as needed.
  • Forward property and personal tangible property tax inquiries to Miami Dade County Tax Collector's Office and provide assistance to unit owners inquiring about Condominium Association Property Tax Appeals per communications with association's contracted legal counsel.
  • Explain features of the Owner Benefits Program and assist Owner Services and the Finance Department with the processing of completed applications and distribution of Owner ID Cards to the unit owners.
  • Administer mailings to unit owners as required by Hotel Operator or Condominium Association and ensure mailings meet requirements per Florida Statutes with Assistance from Director of Hotel and Condominium Operations, Legal Counsels and Association Consultant. Ensure they are processed in a timely manner.
  • Provide Public Notary Services as needed.
Qualifications:
  • Understanding of Florida Condominium Law.
  • Understanding of condominium documents, rules and regulations for condo-hotel buildings.
  • Knowledge of general accounting practices, business law and contracts.
  • Excellent communication skills.
  • Proficiency with Microsoft Office Suite, Opera, database management.
  • Ability to work in a fast paced environment. Ability to maintain a high level of confidentiality.
  • High School Education or equivalent preferred.
  • Property Management, Hotel Operations, Customer Service, Accounting & working with the general public.
  • CAM License is preferred.
